Event Database Guidelines

Process

To submit details of an event use the Enter an Event form on the Virtual Library must be used.

The Events Database Team will then check the details and publish the event.  A decision will be made on each event within 5 working days. You will be informed if your event is not published, in this instance a reason will always be supplied.

Please contact the library if you have any questions about your event.


Parameters for Inclusion or Exclusion

The Events Database Team has final say on event inclusion.  If they choose to reject an event they will inform you directly of their reasons.  There are some parameters for inclusion, these are listed below:

Geographical

Events must happen in one of the three authorities Bedford Borough, Central Bedfordshire and Luton.  Events happening in the surrounding authorities may be considered, but are not assured inclusion.

Religion

Events and activities based in places of worship will be included, for example concerts in churches or church halls. 
However, if there is a strong religious content to the activity and it is evangelical in nature it will not be included as the library service must be seen to maintain a neutral standpoint on religious matters.

Political

Events and activities with a political bias will not be included.  The library service must be seen to maintain a neutral standpoint on political matters, and is subject to some legal restrictions at election times.

Member Only Events

Events must be open to the general public.  If people have to be members of an organisation to attend an event we do not consider this an open event and will not include it on the database. Organisations with regular meetings for members only should consider adding the details of the organisation to the Local Information Database.


Personal Information Privacy Statement

The 'Submit an Event' form requests some personal details, such as name, e-mail address and telephone number.  These will not:

  • Be published online; they will only be used to communicate with you in response to your event submission
  • Be shared with other organisations or third parties for commercial or council purposes

The Events Database Team are trained and contracted to respect the confidentiality of all personal data.
